Your information
Privacy
This page explains the information used to review and manage a request for a small home job.
Who handles your information
Done Properly Home Services is a trading name of Terry Wharvell, sole trader. We handle information about your enquiry and any agreed work. For privacy questions or requests, hello@doneproperlyhomeservices.co.uk.
Information we handle
The quote form asks for your name, email address, mobile number, address line 1, optional address line 2, town, postcode, service category, answers about the job and job description. Up to six job photos are optional. We record a quote reference, submission and photo-upload information, status history, owner decisions and private notes. If work is booked, we record the agreed date and time slot.
We process request information needed for security and rate limits, including an IP address used to create short-lived keyed hashes. The website does not take card payments or keep a payment ledger. Payment and receipt records may be kept separately from this website.
Please photograph the job area only. Avoid people, personal documents and unrelated sensitive or private information in descriptions and photos where possible.
Why we use it
We use your details to review and respond to a quote you request, and to discuss the work, price and appointment. The lawful basis is taking steps at your request before a contract. If you agree work, we use the necessary details to arrange and carry it out under the contract.
Where records must be kept for tax, accounting or other legal duties, the basis is legal obligation. For service security, preventing abuse and handling complaints or disputes, we rely on legitimate interests in protecting the service and resolving concerns. We limit this processing to information reasonably needed for those purposes.
Quote acknowledgements and owner notifications are transactional, not marketing. Requests are reviewed by a person; we do not use profiling or solely automated decisions to decide whether to accept a job. We do not currently use job photos in a public portfolio; any future optional use would need separate agreement and review.
Who receives it
Vercel hosts and processes website requests. Supabase supports the database, private photo storage and owner sign-in. When transactional email is enabled, Resend processes the message and its recipient details, and the owner may receive a quote notification containing contact and job details.
If the optional Google Calendar booking integration is enabled later, it may send a private event with the quote reference, booking date and time, and a private correlation marker. It would not send your name, email address, phone number, property address, job description or photos. The reference and booking time can still relate to you when linked with our own records. We will review the relevant data-protection and transfer arrangements before enabling it for Production.
We may share information where required by law or where reasonably necessary for professional advice or a claim. We do not use a payment processor or marketing platform in this website.
Processing outside the UK
Some service providers may process personal information outside the UK. Where UK data-protection law requires safeguards for a transfer, we rely on the applicable safeguards in the relevant provider agreement, including the UK International Data Transfer Addendum and standard contractual clauses where appropriate. For more information about safeguards relevant to your information, hello@doneproperlyhomeservices.co.uk. We do not promise UK-only storage.
How long information is kept
We manually review unsuccessful or declined enquiries within 12 months and delete or anonymise personal information and related photos when no longer needed and when this can be done safely. Active enquiries and records of completed work may be kept longer where needed for the work, tax, accounting, legal claims, complaints or aftercare. Job photos are kept only while reasonably needed for the enquiry, work or another justified related purpose.
The 12-month point is a manual review deadline, not an automatic deletion date. We check whether an enquiry is still active, work was booked or completed, or a payment, complaint, dispute, legal or other justified reason requires retention. We remove or anonymise information that is no longer needed where this can be done safely. If a linked record cannot yet be safely removed, we record it for follow-up rather than claim it has been deleted.
Information removed from active systems may remain temporarily in provider backups or security records until those copies expire or are overwritten through the provider's normal processes. We do not promise immediate removal from every provider copy.
Your rights and questions
You can ask to access or correct your information, and in some circumstances ask us to erase it, restrict its use or provide it in a portable form. These rights depend on the purpose and lawful basis. Routine quote handling does not rely on consent; if we ask for consent for a separate future use, you can withdraw it.
You may object to processing that relies on legitimate interests.
For a privacy request or complaint, hello@doneproperlyhomeservices.co.uk. Please include your quote reference if you have one. The owner handles access, correction, erasure, restriction and objection requests manually. You can also complain to the Information Commissioner's Office if you are unhappy with how your information is handled.
Keeping information safe
We use access controls and private photo storage to help protect information. Job photos are available through protected owner access, not a public gallery. No system can guarantee absolute security.
